• This General Privacy Policy or General Personal Data Policy (hereinafter the “Privacy Policy”) of BEING ESSENTIAL UK LTD (also referred to as “BEING ESSENTIAL”, “we” or “us”), which should be read together with our Cookies Policy, which forms an integral part of it, provides information about the collection, use and disclosure (collectively referred to as “processing”) of personal data by BEING ESSENTIAL in connection with your use of the BEING ESSENTIAL website, mobile applications and social media pages that link to this Privacy Policy, your interactions with BEING ESSENTIAL during in-person meetings or events held by BEING ESSENTIAL, and in the context of other activities such as the promotion and sale of BEING ESSENTIAL products and services. This Privacy Policy also explains the rights you have in relation to these processing activities.
• This Privacy Policy was last updated on 3 July 2026. The Privacy Policy may change over time, for example for the purposes of compliance with legal requirements or to meet changing business needs. The latest updated version can be found on this website.

2. What personal data do we process about you, and how?

In this Privacy Policy, “personal data” means information relating to an identified or identifiable living individual. For example, this may include, among other things, information collected through your interactions with us, through our website, through the contact form available on the website, or otherwise. We collect various types of your personal data, either directly from you, or from third parties, or by automated means.

BEING ESSENTIAL may process information about you relating to:

a) Offline personal data:

These derive from our interaction with you during meetings, conferences, events, etc., from commercial transactions between us, and from publicly available information.

b) Online personal data:

These derive from your activity on our website, requests for information about potential sales, your registration via our contact form to receive newsletters and further information about the company and its products, or from your interactions with BEING ESSENTIAL via electronic communication tools such as email or telephone. Information about you may also be provided through the use of cookies and other related technologies such as device identifiers.

c) Business contact data from third-party sources:

If you hold a professional role at an organisation we believe may be interested in our services, we may obtain your business contact details from business contact databases such as Apollo.io, from professional networking sites such as LinkedIn, from event delegate lists, from referrals, or from your organisation’s website. The data we obtain is limited to your name, job title, employer, work email address, work telephone number and the address of your public professional profile. We do not obtain personal email addresses, home contact details or special category data from these sources.

In particular, we may collect and process the following personal data:

• Identity and contact data: full name and e-mail address, which you provide to us when you complete the contact form on our website
• Data you provide in the content of your message: The contact form available on the website includes a field in which the user can freely enter their message to BEING ESSENTIAL. We are not able (and are clearly not obliged) to verify the lawfulness of the content of your message, and BEING ESSENTIAL shall bear no liability in the event that the content of your message is unlawful and/or in the event that you provide us with personal data which is either irrelevant or exceeds what is strictly necessary for the purpose of our communication with you. We kindly ask you to enter only the information strictly necessary to communicate with BEING ESSENTIAL and not to include in your message any special categories of personal data (for example: health data, racial or ethnic origin, political opinions, religious beliefs, or any other information which is not strictly necessary for the purpose of communicating with BEING ESSENTIAL)
• Photographs and videos from events
• Transaction data, including products and services ordered, financial details and payment methods
• Unique identifiers, such as your mobile device identifier
• IP address and information that may be derived from an IP address, such as geographic location
• Information about a device you use, such as browser, device type, operating system, presence or use of “apps”, screen resolution and preferred language
• Behavioural data of the internet-connected computer or device you use when interacting with websites, such as advertisements you have seen, websites you have visited, date and time of activities, or the web search you performed to navigate to a website
• Data contained in CVs that you send to us directly or through third-party recruitment companies
• Data contained in contracts for the provision of services and the sale of products to you
• Data collected via cookies, as described in detail in our Cookies Policy.

3. What is the purpose and what is the legal basis of each processing activity?

BEING ESSENTIAL and its staff apply all the data processing principles of the UK GDPR (including lawfulness, fairness, transparency, purpose limitation, data minimisation, accuracy, storage limitation, integrity, confidentiality and accountability). BEING ESSENTIAL protects and safeguards all your rights regarding the use of your personal data. The above applies without any discrimination and covers all processing carried out by BEING ESSENTIAL through its website and through your interaction with BEING ESSENTIAL in any way.

a) The purposes of processing are described below:

• Communication with BEING ESSENTIAL at the initiative of the website user:

We process your data in order to manage communication requests that you voluntarily submit to us via the contact form available on our website and to contact you following the submission of your request via the contact form.

• Taking photographs and videos during events:

We process your data in order to post photographs and videos of events we hold on our website and on social media, and potentially for advertising purposes.

• Carrying out transactions with customers and suppliers, and processing purchases of our products and services:

If you place an order for our products and services, or if you provide services to BEING ESSENTIAL, our employees, our customers or our partners as a supplier, BEING ESSENTIAL processes information about you so that the relevant transactions can be successfully completed (such as sending invoices, information and documents relating to payments), and also to help you manage your order.

• Marketing our products and services or related products and services and tailoring our marketing and sales activities:

BEING ESSENTIAL may use information about you to notify you of new product releases and service developments, events, alerts, updates, prices, terms, special offers and related campaigns and promotions (including via newsletters). BEING ESSENTIAL may also use personal data to advertise BEING ESSENTIAL’s products and services or related products and services, and to ask our distributors, resellers or partners to inform you about our products or services or their related products or services (such as through joint sales or promotional activities).

Contacting business professionals about our services (business-to-business marketing):

We use business contact data obtained from the sourcesdescribed in section 2(c) to tell senior HR, learning and leadership professionals about our academies, events and insights relevant to their role. We do this on the basis of our legitimate interest in promoting our services to organisations likely to benefit from them. We send these messages only to people acting in their professional capacity at companies, limited liability partnerships and similar corporate bodies, in line with the Privacy and Electronic Communications Regulations 2003. We do not send marketing emails to sole traders or unincorporated partnerships without their consent. Every message tells you where we obtained your details, links to this policy and includes an unsubscribe link. We tell you that we hold your data within one month of obtaining it, normally in the first message we send you. You can object at any time (see section 5) and we will stop.

If you attend an event, BEING ESSENTIAL may process information about your attendance at the event and may share this with your company. BEING ESSENTIAL may also allow designated event partners or conference sponsors to send you communications regarding your attendance at the event. Please note that our partners or conference sponsors may request information directly from you at their stands or presentations, and that the use of the information you provide to them is subject to their own privacy policies.

We may also process your personal data to publish testimonials about your interaction with BEING ESSENTIAL on our website, but we will first obtain your consent to use your name and your testimonial.

• Analysing, developing and improving the use, operation and performance of our website and our products and services:

We may process your personal data in order to analyse, develop and improve the use, operation and performance of our website and our products and services, including personalising content, providing social media features and analysing traffic, as well as for quality assurance and training purposes, and for marketing and sales campaigns.

We may receive information about you from publicly and commercially available sources (as permitted by law), which we may combine with other information we receive from you. We may also receive information about you from third-party social networking services when you choose to connect with those services. Specifically, based on current partnerships, we receive information you have published and/or consented to from the following companies: Google, Facebook, LinkedIn and YouTube, for marketing purposes and to improve our services.

• Filling a vacancy at our company:

We will process CVs that you send to us either for a specific vacancy or on a general basis. These CVs may be sent either directly to BEING ESSENTIAL or to third-party companies engaged by us for this purpose. Please do not include personal data of third parties without their consent.

• Managing the security of our website, networks and systems:

We may collect website usage data for security and operational management purposes, to keep our website, networks and systems secure, or to investigate and prevent potential fraud, including advertising fraud.

• Compliance with applicable laws and regulations, and for the operation of our business:

In certain cases, we need to process personal information to comply with applicable laws and regulations — for example, to respond to a request from a regulator or to defend a legal claim. We may also process personal data for the operation of our business, such as carrying out internal audits or for financing, accounting, archiving and insurance purposes.

b) The legal bases for processing are described below:

• In order to communicate with you and respond to your requests, we need to process information about you, and we therefore have a legitimate interest in processing this information.
• We process your personal data for marketing, sales and recruitment activities on the basis of your consent, where this is stated on our website at the time your personal data is collected, or otherwise on the basis of our legitimate interest in marketing and promoting our products and services.
• Where we contact business professionals using data obtained from third-party sources, our lawful basis is legitimate interests. We have documented a legitimate interests assessment for this processing, which you can request from us.
• In order to carry out transactions with customers and suppliers, such as selling our products, delivering the services we offer (including, for example, in-person workshops and online training) and working with suppliers, we need to process information about you as necessary to enter into and perform the relevant contracts with you and with our suppliers.
• We rely on our legitimate interest in analysing, developing and improving our website, products and services, and in maintaining the security of our website, networks and systems.
• We rely on our legal obligations in order to comply with applicable laws and regulations, for our legal protection in the event of a dispute, and for the management by BEING ESSENTIAL of any legal claims (e.g. out-of-court disputes, disputes before courts and/or prosecuting or other authorities).
• Where the legal basis for the processing of your personal data is your consent (for example, for the processing of your request via the contact form and communication with you, for the processing and retention of your CV in our records, or for sending you our newsletter), you may withdraw your consent at any time by contacting BEING ESSENTIAL using the contact details set out in section 1 of this Privacy Policy.

4. How long do we retain your personal data?

In determining the retention period for your personal data, we take into account the nature of your data, its volume, the purpose of its processing, its security, etc. You have the right to ask us to delete your data, provided this does not prejudice BEING ESSENTIAL’s legitimate interests and/or there is no legal obligation to retain it, as set out above. To exercise this right, please read section 5 below.

BEING ESSENTIAL retains your personal data for the following retention periods:

• Information about you that we collect in order to carry out transactions with customers and suppliers, and to process purchases of our products and services, will be retained for the duration of the transaction or service period, or for a longer period where required for record-keeping and legal compliance purposes.
• If you have subscribed to our newsletters, your data will be retained for as long as you remain subscribed to our distribution lists. If you unsubscribe or object to marketing, we keep your name
  and email address on a suppression list indefinitely so that we do not contact
  you again, including if we later obtain your details from another source.
• Contact details, such as your full name, e-mail address and country of location collected online through our website, or other details such as your job title and telephone number collected offline through our interactions with you at BEING ESSENTIAL meetings, events or conferences, and used for marketing and sales activities, will be retained for as long as we have an active relationship (customer or prospective customer) with you. We treat you as an active contact if (i) you have interacted with BEING ESSENTIAL or updated your contact details and preferences within the last 36 months, and (ii) you have not submitted a deletion request.
• Business contact data obtained from third-party sources (section 2(c)) is deleted within [12] months of us obtaining it unless you have engaged with us in that time, for example by replying, booking a meeting, attending an event or subscribing to our newsletter. If you engage with us, we treat you as an active contact under the paragraph above.

5. What are your rights and what are the procedures for exercising them?

• You may exercise your rights by using BEING ESSENTIAL’s contact details (section 1).
• The rights you may exercise (as applicable and subject to the conditions set out in the UK GDPR) are as follows: the right of access (Article 15), the right to rectification (Article 16), the right to erasure (Article 17), the right to restriction of processing (Article 18), the right to data portability (Article 20), the right to object (Article 21), and the right to human intervention in automated individual decision-making, including profiling (Article 22). 
• Right to object to direct marketing: You can object at any time to us using your personal data for direct marketing, including any profiling connected to it. This right is absolute and we will always act on it. The quickest way is the unsubscribe link in any marketing email we send. You can also email info@beingessential.co.uk. We will stop promptly and add you to our suppression list.
• We take the confidentiality of all records containing personal data seriously, and we reserve the right to ask you for proof of your identity if you submit a request to exercise your rights in relation to those records.
• We will not charge you a fee for exercising your rights in relation to your personal data, unless, as provided by law, your request for access to information is unfounded or excessive, in which case we are entitled to charge a reasonable fee in the circumstances. In any event, we will inform you of any charges before completing your request.
• We aim to respond to all valid requests within one (1) month of receipt at the latest, unless the request is particularly complex or you have made a number of requests. We will inform you if we are likely to need more than one (1) month for the reasons set out above.
• Complaints to us:
  If you are unhappy with how we have handled your personal data, you can complain to us by emailing info@beingessential.co.uk with “Complaint” in the subject line, or by writing to the address in section 1. We will acknowledge your complaint within 30 days, look into it and tell you the outcome without undue delay.
• Complaints to the ICO:

6. Who are the third-party recipients of your personal data?

BEING ESSENTIAL employees are authorised to access personal information only to the extent necessary to serve the relevant purposes and to perform their duties.

Disclosure to third parties

We may share your personal data with the following third parties for business purposes:

• Third-party service providers (for example, credit card processing services, website analytics providers, event and campaign management, website management, IT services, customer service, e-mail and newsletter distribution, auditing, and other similar service providers), in order for those service providers to perform business functions on behalf of BEING ESSENTIAL.
• Third parties involved in the event of a reorganisation, merger, sale, joint venture, assignment, transfer or other disposal of all or any part of our business, assets or shares (including in connection with insolvency or similar proceedings).
• In order to comply with a legal obligation or court order, or where we believe in good faith that disclosure is necessary to protect our rights, to protect your safety or the safety of others, to investigate fraud, or to respond to requests from public authorities within or outside your country of residence, for national security and/or law enforcement purposes.
• We may share your personal data with third parties for commercial purposes, for example with BEING ESSENTIAL distributors or resellers for further follow-up regarding your interests, with selected partners offering products and services complementary to our own, and with third parties to facilitate interest-based advertising.

When transferring your personal data in accordance with the above, we continually ensure the highest possible level of security. Accordingly, your data will only be transferred to service providers and partner companies that have been carefully selected and are bound by contract in advance.

Please note that where our website directs you to third-party websites, whether or not they are BEING ESSENTIAL partners, BEING ESSENTIAL has no involvement in any collection and processing of your data carried out by the operators of the third-party websites you visit. You are therefore advised to consult the privacy policy of each website you visit.

For marketing emails we use [Mailchimp, operated by The Rocket Science Group LLC, part of Intuit Inc.], and we obtain business contact data from [Apollo.io, operated by ZenLeads Inc.]. Both are based in the United States. Transfers to them are covered by the UK Extension to the EU-US Data Privacy Framework where the provider is certified, and otherwise by the ICO’s International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses. We do not pass business contact data obtained from third-party sources to distributors, resellers, partners or advertising networks for their own marketing.

International transfers: BEING ESSENTIAL generally keeps your personal data within the United Kingdom, the European Economic Area (EEA), and third countries in respect of which adequacy regulations have been made under UK law (including under Article 45 of the UK GDPR). Where data is to be transferred to third countries for which no UK adequacy regulations exist, or to international organisations, we will put in place all appropriate safeguards provided for under the applicable data protection legislation for transfers to such third countries, such as the ICO’s International Data Transfer Agreement (IDTA) or the Addendum to the EU Standard Contractual Clauses.

7. How is the security of your data ensured?

• BEING ESSENTIAL takes all necessary technical and organisational security measures to protect and safeguard the confidentiality of your personal data and to protect it against accidental or unlawful destruction, loss or alteration, unauthorised disclosure or access, and any other form of unlawful processing (including, by way of example, the use of firewalls, access rights controls, domain controllers, LAN segmentation and antivirus software).
• The information you submit to BEING ESSENTIAL is handled exclusively by specially authorised BEING ESSENTIAL personnel operating under its control and only on its instructions, and by recipients where this is necessary. For the performance of processing, BEING ESSENTIAL selects individuals with appropriate professional qualifications who provide sufficient guarantees in terms of technical knowledge and personal integrity for maintaining confidentiality. BEING ESSENTIAL, including through the corresponding contractual commitments of its partners, takes all necessary security measures to protect and safeguard the privacy, confidentiality and integrity of personal data. In any event, the security of such data within the environment of our website is subject to factors beyond our sphere of influence, as well as to factors due to technical or other failures of the network that are not controlled by BEING ESSENTIAL, or to force majeure or unforeseen events.

8. Do you collect sensitive information and information from children?

a) Sensitive personal data:

Please do not send or disclose to us any sensitive personal data (for example, information relating to racial or ethnic origin, political opinions, religion or other beliefs, health, genetic data, criminal background or trade union membership).

b) Children’s privacy:

As BEING ESSENTIAL focuses on serving the needs of businesses, the BEING ESSENTIAL website is not directed at minors, and BEING ESSENTIAL does not promote or market its services to minors. If you believe that we have accidentally or unintentionally collected personal information about a minor through our website without appropriate consent, please notify us immediately using our contact details in section 1 of this Privacy Policy, so that we can promptly delete the information from our servers and make any other necessary corrections. Please note that such requests may not ensure the complete or comprehensive removal of the content or information — for example, some of the content may have been republished by another user.

9. Governing law and jurisdiction

This Privacy Policy and any dispute arising from the use of this website, or from any other cause, shall be governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction.

We reserve the right to amend this Policy, for example in order to comply with new requirements imposed by applicable laws, regulations or technical requirements, or in the event of a revision of our procedures or practices.
